symplr Launches AI Time and Scheduling to Predict Healthcare Staffing Needs – Unite.AI
ShareShareShareShareShare

A hospital staffing gap often becomes most expensive when there is little time left to solve it. Managers scramble for coverage, nurses field last-minute requests, and overtime or premium labor fills the remaining holes. symplr is trying to move those decisions earlier with the launch of symplr Time and Scheduling, an integrated workforce management solution that combines AI-powered scheduling with timekeeping.

Announced October 26, the product brings anticipated staffing demand, available personnel across a health system and labor costs into a shared view. Its new AI workflows recommend schedule adjustments for managers to approve, taking account of staff preferences, scheduling rules, projected needs and historical patterns.

The launch connects symplr’s predictive scheduling capabilities with timekeeping technology designed around healthcare’s complex pay rules and compliance requirements. It also establishes the foundation for a broader workforce operations strategy spanning planning, staffing and analytics.

AI Recommendations Target the Schedule-Balancing Bottleneck

Building a schedule is only the start of staffing a hospital. Managers then have to reconcile employee preferences with coverage needs, resolve gaps and respond when the balance changes. A schedule that looks complete on a spreadsheet may still leave a unit short of the people it needs at a particular time.

The new product’s AI-driven schedule balancing is designed to reduce that manual adjustment work. Instead of asking a manager to build each change from scratch, it proposes adjustments based on the relevant staffing constraints and patterns. The manager remains the approver.

That is an important distinction in a setting where a staffing decision affects both employees and clinical operations. A recommendation can help a leader compare options sooner, while leaving that person responsible for assessing whether the proposed coverage fits the unit.

“Nurse leaders shouldn’t have to spend hours building schedules and scrambling to fill open shifts when they could be supporting their teams and patients,” said Ali Morin, symplr’s Chief Nursing Informatics Officer.

The company also emphasizes greater flexibility for nurses. The intended benefit is a schedule that accounts for staff preferences earlier, with fewer urgent requests and less administrative friction around finding suitable shifts.

How Predictive Staffing Works Beneath the Schedule

The existing Smart Square technology provides context for the launch. Its documentation describes a predictive model that combines proprietary mathematical modeling with machine learning. Predictions are updated weekly and passed through staffing matrices for individual units or service areas to compare projected patient demand with staff supply.

The current product page describes forecasts extending up to 120 days ahead. The practical purpose is to expose likely gaps while managers still have time to address them, rather than wait until an uncovered shift becomes an immediate operational problem.

Smart Square also includes open-shift management using a variable incentive model, enterprise-wide visibility into staffing resources, self-scheduling and connections to HR, payroll, timekeeping and electronic medical record systems. Those capabilities explain how a forecast can inform action: managers need to see both the projected shortfall and the workforce options available to resolve it.

Predicting demand and balancing a schedule are related but different tasks. The forecast estimates what coverage will be needed. Schedule balancing then works within availability, preferences and rules to recommend how to meet that need. Timekeeping records what ultimately happened.

Connecting Planned Coverage With Time Worked

Integrating scheduling and timekeeping addresses a second source of administrative work: the gap between a planned shift and the hours that reach payroll. When those activities sit in disconnected tools, managers have to reconcile changes and timecards after the staffing decision has already been made.

symplr Time and Scheduling brings the two functions together so nurse leaders can consider coverage and labor costs within the same workflow. The timekeeping component is built to handle healthcare pay rules and compliance requirements, rather than treat every shift as an interchangeable block of hours.

symplr points to previously reported results from its scheduling and time-and-attendance capabilities: approximately 50% less time spent on staffing and timecard-related tasks, with the potential to free as much as 75% of payroll team capacity. These are company-reported potential benefits associated with the combined capabilities, not a new independent evaluation of the product launched today.

The distinction matters when assessing the launch. The opportunity is to reduce the number of manual steps between anticipating a staffing requirement, filling a shift and reconciling the hours worked. The results for a particular health system will depend on its workflows, existing integrations and implementation.

A Manual Process Persists Despite Growing AI Investment

The company’s 2026 Compass Survey helps explain the market need. Forty-one percent of respondents said physician and nurse workforce scheduling at their organizations remained fully manual. Another 35% described it as minimally automated, while only 4% reported full automation.

The survey, conducted with CHIME, included 146 respondents across clinical, IT and operational roles at U.S. hospitals and health systems. It was fielded from June 1 through July 17, 2026. Its findings describe that respondent group rather than a census of every hospital.

The same research found that 21% of respondents said their organization had deployed AI without establishing metrics to evaluate it. That puts measurement alongside automation as an implementation priority. For scheduling, relevant measures include time spent managing the roster, unfilled shifts, overtime, staff satisfaction and the accuracy of demand forecasts.

Making a process more automated is useful only if the resulting schedule works for the people who must deliver care. Involving nurse leaders and frontline staff in deployment gives a health system a way to test whether the recommendations address the actual sources of scheduling friction.

What Is Available Now and What Comes Next

The current launch centers on integrated scheduling and timekeeping, with AI recommendations during schedule balancing. symplr plans additional AI capabilities for timecard corrections and scheduling-rule configuration in 2027. Those functions remain on the roadmap.

Its broader healthcare AI strategy includes predictive intelligence, smart self-scheduling and tools embedded in operational workflows. The company describes source traceability and governed data as platform priorities. That wider strategy should be distinguished from the specific functionality available in Time and Scheduling at launch.

Chief Product Officer Scott Sbihli said symplr’s plans extend beyond traditional scheduling to connect workforce planning, staffing and analytics across inpatient and ambulatory care, with deeper capabilities for physicians and other providers.

symplr will demonstrate Time and Scheduling at the ANCC Magnet Conference in Chicago from October 29 to 31, at booth 631. The immediate test is whether a more connected view of demand, available staff and time worked can give nurse leaders fewer last-minute problems to solve—and more time to support their teams.
