Self-employed people who track expenses and mileage manually, or not at all, routinely miss legitimate deductions. Dedicated apps connect to your business accounts, categorize transactions, log mileage automatically through your phone’s GPS, and keep audit-ready records. The deductions they surface almost always exceed the app’s cost, so set one up before your next quarter starts.

Every business mile you drive is deductible at the IRS standard mileage rate, which resets each year. A self-employed person making client visits and supply runs can rack up thousands of deductible miles annually. Reconstructing them from a calendar in April recovers a fraction of them, and the same goes for expenses buried in a year of bank statements.

The IRS expects contemporaneous records. That means logs made at or near the time of each trip or purchase, not estimates assembled at filing time. That standard is nearly impossible to meet by hand and easy to meet with an app.

Drive detection logs every trip through your phone’s GPS, a swipe sorts business from personal, and connected bank feeds pull in expenses as they post. The result is an audit-ready file with dates, amounts, miles, and business purposes attached. When the IRS questions a return, that file is what it asks to see.

Setup takes one evening. Pick an app with automatic drive detection so trips log themselves even when you forget the app exists. Connect the account and card you run business spending through, then set rules so recurring charges like software, supplies, and subcontractor payments categorize themselves. After that, maintenance is a five-minute weekly review: swipe unclassified drives, approve flagged expenses, done. When quarterly estimates come due, your deduction total is a report you pull, not a project you dread.

The subscription fee is itself a deductible business expense. Treat the app like any other piece of business equipment. It’s a small fixed cost that returns a multiple of itself every April.
